First post updated with meetup details, the organisers are expecting a larger number of cars to enter this year and likely fill out the area they have, hence the early meet up time to ensure we all get in and park as a group.

does the car have to stay there all day / till what time? I might be taking the AW but may have an extra passenger so have to take another car?

Car shouldn't need to be there all day Pete, we had a couple of people leave throughout the day last year and the organisers haven't given me any new info saying any differently for this year.
